Marketing Manager

FLSA:

Responsibilities
  • Overseeing Internet marketing, including SEO efforts, Google AdWords, and blog content

Controller

Job Description

Overview:

Highly committed Controller with 10 plus years of financial experience and a minimum of 4 years as a Controller which includes working with a professional service industry with at least 10 million in annual revenue incorporating accounting and finance. Seeking a position as Controller, where experience will be used and further enhanced. Analytical accountant with broad experience in accounting and management. Hands-on manager with expertise in accounting systems development and financial reporting. Application information is located at the bottom of this post.

FLSA:

  • The Controller is an exempt position.
  • Salary range: $125k-$145k

Reporting Relationship:

The Controller reports to the Chief Financial Officer (which is currently filled by the Owner).

Authority:

The Controller manages all financial functions of the Firm in accordance with the Firm’s policies and procedures and obtains approval from the Owner/Administrator when decisions are not covered by the policies and procedures or this job description.

The Controller has the authority to make payments and purchases when pre-approved by the Owner or within the threshold amounts in the firm’s policies and procedures.

The Controller has the authority to oversee and manage the daily operations of the employees, contractors, and vendors working in the finance/accounting department. The Controller does not have the authority to hire, fire, or spend resources without the Owner’s permission, although this position’s recommendations carry great weight with respect to these matters and other matters of significance.

The Controller has the authority to stop transactions that do not comply with the firm’s operating policies and procedures. Furthermore, the Controller has the authority to stop revenue transactions that do not conform to the firm’s pricing and invoicing policies.

The Controller does not have the authority to practice law, give legal advice, or set strategy on a per-case/per-client basis.

Authority:

1.    Supervises the Bookkeeper, Billing Specialist, and any vendors providing financial services, including participating in hiring/firing and giving performance reviews. Until the positions are filled, the Controller is responsible for performing the functions of these positions. (Currently: also, Bookkeeper)

2.    Oversees and executes financial systems: billing, trust account management, accounts receivables, collections, bookkeeping, expense management, accounts payables, payroll, audits, and taxes.

3.    Coordinate with the Owner and Senior Management Team on Business Plan and adjustments to the Budget. Implements and ensures adherence to the Firm’s annual forward-looking budget.

4.    Risk Management and Financial Controls.

  • Assists with planning and implementing changes in the accounting system.
  • Provide suggestions for the Owner for further financial controls to streamline and protect the integrity of the financials of the law firm.
  • Identify and propose solutions to perceived risks

5.    If performing the Bookkeeper function

  • Creates and reviews with the Administrator/CFO financial statements and key financial reports prepares budgets, and advises the CFO and Owner regarding problems and proposed solutions. See PSP on Bookkeeping.
  • Daily monitoring of Bank Account balance, Credit Card Accounts, and IOLTA accounts.
  • Daily monitoring of cash payments received and billing assistance.
  • Manages Accounts Payable to include receipt of vendor/subcontractor invoices, verify/review for approval, process payment, and record in accounting software.
  • Monthly Account Reconciliations including Trust accounts, accounts receivable, and all bank accounts.
  • Compare and reconcile month-end payments in Time Matters with Infusionsoft.
  • Update HTM Portal with financial data weekly & monthly.
  • Tracks, measures, and reports on Accounts Receivables and timeliness of payments. Advises Administrator/CFO of clients who have not paid and have A/R older than one billing cycle. Directs the Billing Specialist to initiate the first & second phases of A/R collections calls and performs the third phase of calls (leading to case closure and collections) by Firm policies and procedures. See PSP on Tracking and Collecting Accounts Receivable and Client Non-payment.
  • Works with clients to address questions and concerns related to billing and payment and provides customer service to resolve issues and save relationships.
  • Works with the client, Merchant Service Provider, and credit card company to resolve disputes and requests for “charge back” or refund. Issues refunds with the express approval of the Owner.
  • Administers bi-weekly payroll (verifying work hours, leave time, overtime) and benefits.
  • Collects records of expenses of costs advanced to clients and updates the case management system and accounting system accordingly.

6.    Supervises Billing Specialist to monitor and manage this position (person and outputs)

  • Timely preparation and delivery of invoices.
  • Clients’ adherence with terms of payment plans.
  • Communications with clients regarding past due balances.
  • Acceptance of payments or negotiations of installment plans by Firm policies and procedures.
  • The approval from the Controller/Administrator/Owner before committing the Firm to a non-standard agreement.

7.    Preparers Annual Financial Statements and Reports for CPA to prepare Corporate Income Tax Returns. Prepares Annual ‐Misc Tax Forms for Subcontractors. Prepares all other tax reports required by the state and/or federal governments

8.    Ensures Annual License (State/County/City) renewal.

9.    Provides first-level review, data gathering, and analysis as needed for strategic and operational planning and review activities as needed.

Qualifications
  • Ten or more years of professional accounting experience.
  • Strong understanding of banking processes and financial data analysis.
  • Working knowledge of national and local tax regulations and compliance reporting.
  • Experience in managing payroll, with focus on streamlining accounting processes.

Senior Associate Attorney

Job Description

Overview:

The Senior Associate may delegate to Associate Attorneys and Paralegals to accomplish these tasks but remains responsible for ensuring the timely and professional completion of the work.

Work with Managing Attorney and Legal team to develop legal strategies and advise clients regarding what is in their best legal interests, serving as direct contact between the Firm and the client.

Represent clients at mediation, in deposition, and in court for motions, trials, and other types of hearings throughout California.

Assist with marketing (i.e., alerting management when an opportunity exists to capture feedback (Positive and negative), testimonials, and reviews). Networking by attending functions, writing articles, supporting the firm’s social media strategy and online presence including Avvo, LinkedIn, etc.… and speaking engagements.

Paralegal

Legal Secretary

Office Manager

Job Description

Overview:

Mid-sized and growing Real Estate and Foreclosure law firm, office administrator with a minimum of three years of office management and/or related administrative experience. This position will be a member of the firm’s Operations Team and is responsible for assisting with a broad range of management and office administrative tasks for the firm’s East Bay Office. Responsibilities include resource allocation, training, and development, workflow management, performance evaluation and management, coaching, counseling, and administration of the firm’s policies and procedures for secretaries, paralegals, and non-department support staff.

FLSA:

  • The Office Manager is an exempt position.
  • Salary range: $75k-$85k

Reporting Relationship:

The Office Manager reports to the HR Manager and the Chief of Engagement.

Authority:

Manages the day-to-day operations of the office; prioritizes the use of support staff and facilities. Manages the daily operations of information systems. Manages equipment, office services, and facilities. Manages schedules and appointments including trial dates and hearings, meetings and travel.

Responsibilities:

  • Directly supervise and manage staff in assigned offices
  • Provide office support, including making recommendations for attorney/secretary assignments; coordinating staffing coverage; conducting staff meetings; working with Firm leadership to resolve office conflicts
  • Maintain assigned offices, including overseeing the ordering and stocking of offices supplies, as well as the ordering and repair of office equipment
